CS & Ops Coordinator

About the role

Owning requests from intake to close for three departments, plus event coordination and support for the philanthropy director. The work is high volume and hands-on inside HubSpot, automation tools and AI, not systems design.

At a glance

What you will do

• Attend client success, customer service and fulfilment meetings, resolving what you can and bringing the rest back to operations
• Triage inbound requests in ClickUp within one business day: confirm scope, set priority, assign an owner and route
• Close most requests yourself and tell requesters when they could have handled it, pointing them to the SOP
• Escalate items needing senior technical judgement with context already gathered
• Coordinate client events and support the philanthropy director and foundation

What they look for

• Comfort holding many open threads at once without dropping any
• Hands-on use of HubSpot, automation tools and AI for real work
• Ability to work with daily overlap against 9AM to 6PM Eastern time
• Willingness to travel two or three times a year
• Satisfaction in keeping a queue clean and a backlog moving

A typical week

• Meetings with client success, customer service and fulfilment anchor the week
• Requests arrive continuously through a form, Slack and meetings, bunching around program starts, renewals and events
• Most items take under an hour, and many have a client waiting
• Alongside inbound work, you chip away at a standing backlog and a few longer cross-team projects
