Project Coordinator

About the role

Coordinate federal health program work including scientific meetings, workshops, webinars, communications products and website updates. Keep multiple workstreams, deadlines and approvals on track in a client service setting.

What you will do

• Coordinate schedules, deliverables and approval processes across several workstreams
• Maintain workplans, calendars, task lists, meeting notes and project files
• Draft, format, review and distribute communications, reports and presentations
• Organize meetings, webinars and workshops including logistics, materials and reimbursements
• Support administration such as data collection, reporting, purchasing, invoices and vendor coordination
• Monitor deadlines, flag risks and communicate project status clearly

What they look for

• Three or more years in project coordination, administrative or client facing support for interdisciplinary teams
• Two or more years drafting business communications and working with clients, speakers and vendors
• Three or more years using Microsoft 365 tools including Word, Excel, PowerPoint, Outlook, Teams and SharePoint
• Two or more years with event registration platforms, content management systems, tracking tools such as Confluence and JIRA, and procurement

Nice to have

• Five or more years of project coordination experience
• Experience coordinating scientific meetings, workshops and webinars
• Experience updating websites or SharePoint sites and supporting digital communications
