Job File Coordinator

About the role

A fully remote, full-time coordination role supporting the administrative operations of a US-based client. The work centres on calls, scheduling, records and accurate job documentation.

What you will do

• Answer incoming calls, handle inquiries, take messages and route callers to the right people
• Schedule appointments and meetings and keep calendars accurate and current
• Organize and prioritize incoming email so replies and follow-ups happen on time
• Create, update and maintain job files, documents and records so information stays accurate and accessible
• Handle general filing and document management and respond to customer requests professionally
• Provide call recordings when asked to support quality checks on communication standards

What they look for

• Excellent written and spoken English with a professional phone manner and clear pronunciation
• Strong organization and close attention to detail
• Experience managing business email, calendars, appointments and digital documents
• Proficiency with Microsoft Office, especially Outlook, Word and Excel, plus Google Workspace
• A reliable internet connection and a suitable home workspace
